AXUS offers multiple ways to add bookings to an itinerary: manually, from vendor email confirmations, or via system integrations. This guide focuses on manual entry, providing step-by-step instructions for each of the eight booking categories.
Important: In AXUS, the term "booking" refers to any entry, component, or item added to an itinerary in the day-by-day view. This includes confirmed reservations, such as flights or hotel bookings, as well as other itinerary details like activities, transportation, destination checklists, or general notes.

Adding a New Booking
To create a new booking within an itinerary:

Navigate to the Bookings section of your itinerary.

If no bookings exist for a date, click + New Booking.

If there are existing bookings, click the three dots and choose to insert the new booking above or below the current ones.

Select the appropriate booking category from the available options.
Booking Categories
Each booking falls into one of eight categories. Click on a category below to jump to its section:
Air
The Air booking type allows you to add flight details to an itinerary, either by using the Flight Look-Up feature to auto-fill information or by entering details manually.

Add Flight Details
Enter the Airline, Flight Number, and Date, then select Get Flight Details to use the Flight Look-Up feature and automatically populate the flight information. Alternatively, select Manually Edit Flight to enter the details yourself.

Enter Passenger Information
Add passenger details and include additional passengers or segments as needed. -
Enter Additional Information
- Record Locator: This field is essential for the Flight Tracking feature. Only one record locator can be entered per AIR booking. If there are multiple record locators, they can be added in the NOTES section for the traveler's reference.

Hotel
The Hotel booking type allows you to quickly add accommodation details to an itinerary.
- Using Accommodation Search
When you search for a hotel using our Hotel lookup, you can find hotels saved in your Library, hotels available through a consortia Database, or those from the NTG database. After selecting a hotel, most fields in the booking will be populated. You can edit and add any necessary information.

Enter Room Information
Fill in the fields with the specific room details for the trip. -
Using Google Enhance
After saving a hotel booking and reopening it, you'll notice a new button called Enhance Booking. Clicking on it and selecting Google will enhance the existing booking with Google's information for that hotel. This is a great way to add a hotel that isn’t available in the consortia's database or your organization's library.

Concierge
Use the Concierge booking type to add details for non-hotel reservations, such as restaurants, golf outings, or afternoon tea. This could be: restaurant reservations, a round of golf, setting up a high tea or an afternoon tea – anything that we’re going to search for by what we call the service provider.

Using the Search Bar
When you start typing in the service provider search bar, Axus will automatically display matches from your Organization's Library and Historical Matches previously used by the agent or other agents in the organization. A dropdown will show these matches, and selecting one will auto-populate the booking fields, including the last used images for the booking.

Including Google Results
If you want to include Google results in your search, enable the "Include Google Results" option before typing in the search bar. When you select a result from the dropdown list, the fields will auto-populate using information from Google. You can edit or add any details as needed and save the updated booking to your library for future use.

You can also manually input information if needed. In this case, the service provider field will serve as the title of your booking.

Cruise
The Cruise booking type allows you to create a detailed day-by-day cruise itinerary, including port images and information.
You can add port information manually or use the cruise look-up feature to search for a cruise in one of the available databases.
Using the Cruise Look-up Feature
To search for a cruise, you can use any of the following fields: Embarkation Date, Cruise Line, Ship Name, Cruise Name.

Embarkation Date
Click on the field to load the calendar and select the embarkation date. -
Cruise Line
Start typing the first few letters of the cruise company’s name and select an option from the dropdown menu. If no results appear, the company may not be supported in the database. In this case, try selecting a different database (availability depends on your consortia) or double-check the spelling.

Ship Name
Similar to the Cruise Line, start typing the cruise ship's name and select an option from the dropdown menu: -
Cruise Name
The Cruise Name field follows the same logic as the Cruise Line and Ship Name fields. However, it’s usually unnecessary to filter database results. Use it only when you’re unsure about the other fields. Keep in mind that commercial cruise names may differ from those in the database, which could lead you to believe a cruise isn’t available when it actually is.
For best results, select from the dropdown instead of typing the full name manually.
Typically, entering the embarkation date along with the Cruise Line or Ship Name is enough to filter the results effectively from the Cruise Database.
For example, if you’re searching for Silversea’s cruise "Lisbon to Civitavecchia (Rome)", embarking on April 15th on the Silver Ray ship, simply using the embarkation date and the cruise line will filter the results sufficiently for you to select the correct option:
Editing and Adding information to a Cruise
After selecting the correct cruise using the Cruise Look-up, the itinerary details—embarkation, disembarkation, ports, and dates—will be automatically populated. You can add cabin information, edit any details, set a main image for the Cruise Booking, upload images for all ports, and include any additional port information as needed. Ports can also be added or removed as necessary.

Transportation
When adding a transportation booking outside of Air (Flights), select the Transportation booking category.
Within the Transportation booking, five templates are available based on the Transit Type: Ferry, Rail, Rental Car, Transfer, and Other. When a Transit Type is selected, AXUS automatically populates the booking title with the chosen type. For example, if the "Transfer" type is selected and "Airport" is entered in the Service Title field, the booking will be titled "Transfer - Airport". This applies to all transit types except "Other".
Selecting a template displays relevant fields for that transportation type. For example, selecting RAIL will display the corresponding transportation template below:

Tour/Activity
Similar to Concierge Bookings, when working with Tour/Activity bookings, AXUS automatically pulls historical data created by the agent or others within the same organization.
For example, as you begin typing the "Tour Name" (Tour/Activity), a drop-down menu will appear, displaying historical matches or relevant Library items.
Historical matches will auto-populate the fields with information and an image used in a previous booking.

Insurance
Use this category to include travel insurance details. Insurance bookings are always placed at the end of the itinerary, appearing after "Post Travel" once the booking is saved. This position cannot be changed. If the insurance needs to be listed elsewhere—such as alongside activities on a specific date—it can be added as an "Other/Notes" booking instead.
Similar to Concierge Bookings, AXUS automatically pulls historical data for Insurance bookings from entries created by the agent or others within the same organization.
As you begin typing the "Company" (Insurance), a drop-down menu will appear, showing historical matches or relevant Library items.

Other/Notes
This is the most flexible booking type, allowing you to add any details that don’t fit into other categories, such as trip overviews, emergency contacts, packing tips, or tipping guidelines. It can also be used for a simple daily touring booking or airport transfer with minimal information.

AXUS automatically pulls historical data for Other/Notes bookings from entries created by the agent or others within the same organization. As you begin typing in the "Title" field, a drop-down menu will appear, showing historical matches or relevant Library items.
- With Other/Notes, users can create a high-priority booking to highlight essential travel details, ensuring the information is prominently displayed in the PDF and Webview of the itinerary.
- If no time is assigned to an Other/Notes booking, it will appear at the top of the itinerary for the selected date. To place a trip overview at the beginning of the itinerary, set its start date to the first day of the trip and leave the time field blank.

Common Issues and Solutions
"Failed to Add Booking" Error
If you receive a "Failed to Add Booking, please try again" message when saving a booking, consider these potential causes and solutions:
- Browser Configuration Issues: Your browser settings may be interfering with AXUS. Try opening AXUS in an Incognito window in Google Chrome to see if the issue persists.
- Large or Multiple Image Uploads: Uploading several images at once or entering excessive information in a booking can overload the system. Try adding images one at a time and saving after each upload.
Traveler-Added Bookings
The mobile app allows travelers to add simple bookings, but this feature is limited. Advisors should always edit itineraries using axustravelapp.com on a browser.
