How to work with your Organization's Library

The Library in Axus is your go-to place to store, organize, and reuse content for your itineraries. It helps you work more efficiently, especially when building similar trips or reusing commonly used services and bookings.

Items added to the Library have all traveler-specific fields and dates removed. What’s left are clean, reusable templates, ready to plug into future itineraries or proposals.

In this guide, you will learn how to:

• Save bookings or full itineraries as templates
• Create templates directly in the Library
• Use templates to quickly build new itineraries

What’s in the Library?

The Library is your central hub for reusable content in Axus. While this article focuses on Booking Templates and Itinerary Templates, there are also a few other helpful tools available in the Library:

Booking Templates

Booking Templates are saved versions of individual bookings, like accommodations, restaurants, or tours, that you can quickly add to future itineraries. They store general information, not traveler-specific details.

 

How to Add Bookings to the Library

The easiest way to save a booking as a template is from an existing itinerary:

  1. Open an itinerary page.

  2. Open the booking you want to save.

  3. Check the "Copy to Library" box and click Save.

This will push the general information (name, location, images, description, etc.) to the Library. It will not include any traveler-specific details or dates.

 

Viewing and Editing Booking Templates

To review what you’ve added:

  1. Go to the Library.

  2. Select a booking type.

  3. Click the gear icon to edit any saved template.

Templates contain only general fields. If your saved item includes multiple room types (e.g., in accommodations), those will also be available for future selection.

 

Creating Booking Templates Manually

You can also create booking templates directly from the Library:

  1. Go to the Library.

  2. Select a booking type.

  3. Click New

  4. Add images, descriptions, and any other details.

  5. Click Save.


 

Using Booking Templates in an Itinerary

From the Itinerary

  1. Go to the editing page of an itinerary.

  2. Add a new booking

  3. When you type a booking name, your organization’s library templates will appear first.

  4. Select the appropriate template and adjust traveler-specific info.

From the Library

  1. Go to the Library.

  2. Select a booking type.

  3. Search for the item to add and Select "Add to Itinerary".
  4. Enter the name of the itinerary and select it from the dropdown list.
  5. Select the date.
  6. Click "Add Booking".

Important: Once you add a booking template to an itinerary, it becomes fully editable. Any changes made in the itinerary will not affect the original template saved in the Library. If you save it to the library, a new booking template will be created.

 


Itinerary Templates

Itinerary Templates let you save entire trips so you can reuse them later, great for quickly building proposals or repeatable trips.

 

Saving an Existing Itinerary as a Template

  1. Go to the Itineraries section.

  2. Open the itinerary you want to save.

  3. Click the three-dot icon (Itinerary Actions) and select Copy to Library.

This will copy the itinerary into the Itinerary Templates section of your Library. Dates will be removed and replaced by Day 1, Day 2, etc., giving it a reusable template structure.

 

Creating a New Itinerary Template from Scratch

  1. Go to Library > Itinerary Templates.

  2. Click New.

  3. Add itinerary-level details, name your template, and select the total number of days.

  4. Start adding bookings using the same lookup tools you use within itineraries.

This process lets you build a flexible template that can be reused for trips of various lengths or types.

 

Creating a Live Itinerary from a Template

Once you’ve saved an itinerary template, you can:

  1. Go to Library > Itinerary Templates.

  2. Click the arrow next to the template name labeled Create an Itinerary from Template.

  3. Enter a new itinerary name and start date.

Axus will convert Day 1, Day 2, etc., into actual dates based on the start date you select. The itinerary and all its components will now appear in your Itineraries section as a live trip that you can customize and send to your client.
